This Privacy Policy explains how StellaERP (“StellaERP,” “we,” “us,” or “our”) collects, uses, stores, and protects information in connection with the StellaERP accounting and enterprise resource planning service (the “Service”). We have built the Service for organizations that trust us with sensitive financial records, and we treat that responsibility seriously.

Our core commitment: we do not sell, rent, or trade your information, and we do not share it with third parties for their own marketing or commercial purposes. We use your information only to provide and improve the Service for you.

1. Information We Collect

We collect the following categories of information:

  • Account & profile information. Name, email address, organization/tenant name, role, and authentication identifiers used to create and secure your account.
  • Financial and accounting data you provide. The records you enter or upload, such as chart of accounts, journal entries, transactions, vendors, customers, budgets, and uploaded statement files (e.g., CSV imports).
  • Connected financial account data. If you choose to link a bank or credit-card account, we receive account and transaction information through our data-connection provider (see “Bank Connections & Plaid” below).
  • Technical and usage data. Log data such as IP address, browser type, pages accessed, and timestamps, used to operate, secure, and troubleshoot the Service.

2. How We Use Your Information

We use information solely to:

  • Provide, maintain, and secure the Service and your account;
  • Process and display your accounting data, reports, and reconciliations;
  • Import and categorize transactions from files or connected accounts;
  • Respond to your requests and provide customer support;
  • Detect, prevent, and address fraud, abuse, security, or technical issues; and
  • Comply with legal obligations.

We do not use your financial data for advertising, and we do not build advertising profiles.

3. We Do Not Sell or Share Your Information

We do not sell, rent, license, or trade your personal or financial information to anyone. We do not share it with third parties for their own purposes. The only circumstances in which your information leaves our systems are:

  • Essential service providers (subprocessors). We rely on a small number of vendors strictly necessary to run the Service — for example, cloud hosting/infrastructure and the bank-connection provider described below. These providers may process data only on our behalf, only to provide their service to us, and under confidentiality and data-protection obligations.
  • At your direction. When you explicitly ask us to (for example, exporting your data or connecting an integration you choose to enable).
  • Legal requirements. When required by valid law, subpoena, or to protect the rights, safety, and security of our users, the public, or StellaERP.
  • Business transfers. If StellaERP is involved in a merger, acquisition, or sale of assets, your information may transfer subject to this Policy; we will notify you of any change in ownership or use of your information.

4. Bank Connections & Plaid

To let you securely connect a bank or credit-card account, we use Plaid Inc. (“Plaid”). When you link an account, you enter your credentials directly with Plaid — StellaERP never sees or stores your bank login credentials. Plaid provides us with account information such as account and routing details, account balances, transactions, and account-owner information, which we use only to provide the Service to you (for example, to import and reconcile transactions).

Plaid handles your data in accordance with its own privacy policy. We encourage you to review the Plaid End User Privacy Policy. You may disconnect a linked account at any time from within the Service, which stops future data retrieval through Plaid.

5. How We Protect Your Information

We use industry-standard safeguards to protect your information, including encryption in transit, access controls, tenant data isolation, and restricted administrative access. No method of transmission or storage is perfectly secure, but we work continuously to protect your data and to limit access to those who need it to operate the Service.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. When you close your account, we will delete or anonymize your information within a reasonable period, except where retention is required by law (for example, financial recordkeeping requirements).

7. Your Rights & Choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can access and update much of your data directly in the Service, or contact us at privacy@stellaerp.com to make a request. We will respond consistent with applicable law.

8. Cookies & Similar Technologies

We use strictly necessary cookies and similar technologies to keep you signed in, maintain your session, and remember your preferences. We do not use third-party advertising or cross-site tracking cookies.

9. Children’s Privacy

The Service is intended for businesses and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

10. International Users

The Service is operated from the United States. If you access it from outside the United States, you understand that your information may be processed and stored in the United States, where data-protection laws may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
